  • Information about your organisation if you become a member (for example, organisation’s name, phone number, address, job role, username, password, photograph and other registration information)

  • Your attendance at our events and conference
  • Notes about meetings and interactions with the membership and partners

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • When you sign up as a member, register for an event, attend an event (online or in person) or sign up for our mailing list
  • To communicate with you when you sign-up to our mailing list
  • Register opinions and feedback when you fill out a survey
  • When you share data with us via our website and online membership platform
  • When you upload data to our online platforms or fill in a membership form. We use this to personalise our membership offering and communications to you or your organisation

We may also gather information about journalists, influencers and other companies from public sources, such as organisation websites, from clients, or other journalists and influencers.

We also receive personal information indirectly, from the following sources in the following scenarios:

  • From organisational partners who run events on our behalf, when we might receive personal data or anonymous feedback responses to events we have direct involvement with
  • Information on organisations and services 

We use the information that you have given us in order to 

  • improve your experience as a member
  • in some circumstances to make decisions about how we improve and run our activities and make them accessible
  • to communicate with you about opportunities and information that is relevant and tailored
  • Deal with enquiries or complaints made by you or about our website or services

We may share this information to the extent that we are required to do so by law with 

  • our board of trustees
  • partner organisations listed on our website
  • partners that assist in running workshops training sessions or events when your personal and membership information is necessary to the running of the event and we may submit statistics generated from your personal and membership data for the purposes of analysis and reporting.
  • other JPN members or JPN member organisations if you have specifically selected for this information to be shared. You can also stop sharing this information at any time

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting comms@jazzpromotionnetwork.org.uk

How we store your personal information 

Your information is securely stored through our charity’s CRM – Good CRM, via our emailing list service provider Mailchimp and on our company filing system (hosted by Google). You can view their privacy policies below:

We keep Personal and Membership data for as long as you are registered as a member, or for 90 days if you do not interact with us at all across that time period. We will then dispose of your information by permanently removing it from our mailing lists, internal file storage system and from our CRM. If you have signed up to our mailing list, we will keep your personal information for as long as you are subscribed. If you want to unsubscribe, we will remove your personal data within 90 days but you will stop receiving communication from us immediately.

Changes to this privacy policy

We aim to meet high standards and so our policies and procedures are constantly under review. From time to time we may change this privacy policy. Accordingly we recommend that you check this page periodically in order to review the latest version.

Your data protection rights

Under data protection law, you have rights including:
